Civil Society Conference

1) REGISTRATION

You are invited to participate in the Hague Appeal for Peace Conference, May 11-15, 1999

If you have not yet received the comprehensive 37 page Registration Packet, contact us and we'll send you one. If you are receiving this HAP Canada update via e-mail, we have appended the relevant text (with thanks to Eric Fawcett for his persistence in obtaining it) which will allow you to register early (by fax, to the HAP Hague office). You should still obtain the international Registration Packet; it contains much useful information about the conference programs, global forum, practical site information, etc.

2) PRACTICAL DETAILS REGARDING REGISTRATION

For individual registrants the information about organization registration may be ignored.

If on the other hand you are a member of an NGO that will be sending representatives, make sure that the organization officials get a copy of the form and register, AS WELL AS sending the individual registration information regarding its members who will participate at HAP 99.

Still not sure whether you're going? HAP registration officers have confirmed that it is possible for participants to register, and then later change the name of the person for whom a reservation has been made. In cases of cancellation, charges will apply (the amount depending on when the cancellation is made).

3) HAP Canada

On behalf of Canadian NGOs and individual participants, HAP Canada will reserve tables - a HAP Canada booth - which will allow you to display your organization's literature, brochures, etc. We expect that the HAP Canada tables will also serve as a useful meeting place, bulletin board, etc.

HAP Canada Updates in the coming weeks and months will review some of the workshops and other preparations in Canada which will contribute to May's HAP Program and the substantive elements of The Hague Agenda for Peace and Justice for the 21st Century.

HOW TO REGISTER: The Registration form below has two parts: the individual registration form and the organizational registration form. Every participant must complete the individual registration form in its entirety.

In addition, every organization that will participate in the Conference as an organization must be registered. By registering, organizations will have access to meeting rooms with limited seating and thus open only to members of the organization; they will receive working papers and documents for which a limited number of copies are available; they will be given priority when renting meeting and exhibition/booth space; and they will be guaranteed an organizational role in the implementation process following the conference. Since Organizations need only register once, please complete the Organizational Registration which follows the individual registration form only if you have been designated as the official contact person for your organization. If you are attending the Conference as an individual, you need only fill out the Individual Registration Form.

Registration will be final once full payment has been received. Because hotel accommodations are limited, we recommend that you register as early as possible. Cancellations and/or changes should be sent in writing to the registration secretariat. Cancellation charges apply.

Registration Form, Part I: Organizational Registration Form

1) Fill in Organizational contact information including a short mission statement or a general information brochure. Choose which registration fee applies to your organization.

2) Complete information about the Contact Person. This person should be designated by the organization as an official representative. This need not be the same person who will attend the conference if the designated official will be sending another representative in his/her place.

3) Indicate if your organization would like to rent one or more "booths" (one table 125 cm by 80 cm) or meeting space for your organizational meeting in the Congress Centre.

4) Determine how your organization can support participation from the global south and economies in transition.

5) Choose a method of payment to be included with your registration form. Please see description of options below. All prices in this form are listed in Dutch guilders (NLG). One NLG is roughly equivalent to $0.83 Cdn.

6) As the official organizational contact person, sign the form.

Registration Form Part II: Individual Registration Form
(THIS SECTION OF THE REGISTRATION FORM MUST BE COMPLETED
IN FULL AND SIGNED BY ALL PARTICIPANTS.)

2) Determine which Registration Fees apply to you: Each registrant must pay a registration fee which includes participation in the conference program, conference materials, admission to social/cultural activities, and coffee/tea. As is indicated on the form, there is a discounted rate for participants from the global south and from countries with economies in transition and for youths (25 years old and under) and students. Students and youths must include a photocopy of their student/age identification to qualify for discounted rates.

You will also be able to contribute toward the registration expenses of youths and participants from the global south and economies in transition. This contribution should be whatever you can spare; we suggest NLG 40.

3) Choose a Lunch Option: Lunch will be available each day of the conference, please indicate the number of tickets that you need.

4) Decide on Hotel Accommodations: Reservations must be made on the registration form. By returning the signed form, you have agreed to pay the total amount due. A deposit equal to the overnight rate must be paid in advance to guarantee your hotel reservation. This deposit will be deducted from your final bill which must be paid when you check out.

Hotel reservations can only be guaranteed if the deposit is received before 1 February 1999. Anything received after this date will be handled but cannot be guaranteed. Cancellations must be sent to the registration secretariat in writing.

The Hague Secretariat will try to fill all requests for group bookings but these cannot be guaranteed.

5) Choose a Method of Payment:

Credit Card payment, whenever possible, is the easiest way to make payment because it is not necessary to exchange currencies.

The registration form must be accompanied by payment, or proof that payment has been made by some other method. Payments must be made in Dutch guilders (NLG). Any bank charges that are incurred during the transaction will be deducted from your registration fee. You will be asked to pay the balance when you register in The Hague.

Bank Transfer: Payable to 'Hague Appeal', bank account number 1279.95.633 of the Rabobank Oosterhout-Lent, the Netherlands. Please state your full name clearly on the transfer. To ensure that you send the correct amount, check what fees your bank charges for this service. The receiving bank will charge a fee similar to that charged by your local bank which should also be added to your total amount due. Any additional fees that are incurred can be paid at the registration desk in The Hague. Please keep a record of your transfer until you have received confirmation of payment.

Certified bank cheque: This must be drawn on a Dutch bank, made out to 'Hague Appeal' and sent to the registration secretariat with your registration form. When sending Eurocheques, do not exceed the total amount of NLG 300 per cheque and make sure that you have filled out your personal number. Personal/postal cheques cannot be accepted.

Credit Card: We accept Visa, Euro/Mastercard and American Express. Include your account number, expiration date, address and signature of card holder.

6) Ask for all of the additional information that you need - Please check the boxes corresponding to all the additional information that you need before you can come to The Hague. This is also the space where you indicate how you plan to participate before, during and after the conference.

7) Cancellations:

The registration secretariat must be notified of cancellations or changes in writing. Registrants canceling before April 1, 1999 will be charged half of their fees. There will be no refund for cancellations made after April 1, 1999. All refunds will be processed after the conference. Exceptions will be made in cases of illness or other emergencies.

Important Registration Dates:

Deadline for early, discounted registration and payment: January 15, 1999.
Deadline for guaranteed hotel reservations: February 1,1999.
Deadline for standard registration: March 19, 1999 (Registration will continue up to and during the conference, but there will be a late fee of NLG 100 added to the registration fee.)

Once you've done all this, you're ready to go. Mail or fax your form to the address given at the end.
